What GemCRM is

GemCRM is a self-hosted CRM and marketing automation plugin for WordPress. It sends email campaigns and newsletters, runs drip sequences and recurring campaigns, and adds SMS and WhatsApp messaging, all from the WordPress dashboard. Its home page headline sums up the pitch: "Stop paying per subscriber. Start owning your audience." The footer names the maker as Kodezen LLC, registered in Delaware, and the GemCRM comparison article says the plugin was built by the Academy LMS team. Kodezen's other products listed on the site include Academy LMS, StoreEngine, aBlocks and QuizPress.

GemCRM is aimed at WordPress businesses: store owners, course creators, booking businesses, bloggers and publishers, sales teams and agencies. Because it runs as a plugin on your own site and stores contacts in your own database, it sits in the self-hosted part of this directory.

Email campaigns

Campaigns are built in the Easy Mail Builder, a drag-and-drop editor inside the plugin, with no third-party editor or outside account. You build an email, save it as a template and send it. A/B testing compares subject lines and content variants, and GemCRM automatically sends the winning version to the rest of the list. A follow-up auto-resend option sends the campaign again to contacts who did not open it, with a single toggle. Open and click analytics track every campaign in real time. Smart links, a Pro feature, add trackable branded links with auto-signin, click analytics and redirects.

Pro adds two more sending modes. Email drip sequences are multi-step journeys with delays, triggers and conditions for onboarding, re-engagement and upsell flows. Recurring campaigns go out on a daily, weekly or monthly cadence once set up.

How sending works

GemCRM does not include its own delivery service. You connect an SMTP provider; the setup steps on the home page name Amazon SES, Mailgun or any SMTP provider, and the FAQ recommends Amazon SES, Mailgun or SendGrid. GemCRM adds no per-email charge. The FAQ puts Amazon SES at about $0.10 per 1,000 emails and says a list of 10,000 contacts sending 4 emails a month costs roughly $4 to $5 a month on SES. Bounce handling is built in for Amazon SES, Mailgun, SendGrid and Pepipost, and campaigns queue and send in the background through Action Scheduler, the background processor WooCommerce uses.

Contacts, segments and forms

Contacts, leads and companies share one dashboard, with custom fields, tags, lists and labels, and purchase history from WooCommerce and StoreEngine shown on each contact. Company records group contacts into accounts for B2B work and track deals at the company level. Pro adds dynamic segments with advanced filters on any contact field, number, date or string, which update live without rebuilding lists, and role-based tag mapping that applies tags when a user's WordPress role changes, for memberships, upgrades or course completions.

For list growth, a free subscription form builder offers custom layouts and post-signup redirects and drops into any page by shortcode; every signup creates a contact. Incoming webhooks capture leads from any external form, funnel or landing page and assign them to lists and tags without code. The aBlocks page builder, from the same maker, brings 100+ Gutenberg blocks for opt-in pages, and the QuizPress integration turns quiz and survey answers, across 20+ question types, into contact data for segmenting.

Integrations and migration

The site calls its sync "zero-setup": StoreEngine and Academy LMS customers flow in automatically, and WooCommerce, Tutor LMS, LifterLMS, Easy Digital Downloads, FluentCart and WP Fusion are supported too, with no Zapier or CSV step. WordPress users sync as well. For moving an existing list, GemCRM imports from several named email platforms via CSV with full custom field mapping.

Automation, pipeline and cart recovery

Pro includes abandoned cart recovery that tracks WooCommerce carts and triggers recovery sequences when a customer abandons checkout. A visual Kanban deal pipeline has custom stages, drag-and-drop cards, deal values, tasks, notes and a full activity log, with each deal linked to contacts and companies. Role-based permissions control team access to contacts, campaigns, deals and forms, which lets an agency run campaigns and pipelines for several clients from one WordPress install. An email inbox appears in the product menu alongside the campaign tools.

SMS and WhatsApp

Both channels are Pro features in the same contact dashboard. SMS covers broadcast campaigns, drip sequences, STOP-keyword compliance and per-contact consent tracking, through Twilio, Vonage or BulkSMSBD. WhatsApp covers template campaigns, a suppression list, consent tracking and full delivery logs and stats, through the WhatsApp Cloud API or 360dialog.

Data and privacy

The FAQ says GemCRM is built on the WordPress Privacy API and that your data stays on your server, never on a third-party platform. Consent timestamps are recorded for each contact at the database level. The site describes "GDPR-safe suppression": SMS and WhatsApp opt-outs survive contact deletion and re-import, and phone numbers are hashed with a per-site salt.

Requirements and performance

GemCRM requires PHP 7.4+ and WordPress 6.8+. The FAQ says the dashboard adds no front-end page-load overhead, since sending happens in the background.

Pricing

The free version, in the FAQ's words, "has no subscriber cap, no expiry, and no credit card required." Contact management, unlimited campaigns, the drag-and-drop builder, A/B testing, open and click tracking, forms and multi-platform sync stay free permanently. The FAQ says to upgrade to Pro for multi-step drip sequences, recurring campaigns, SMS or WhatsApp, dynamic segments, the sales pipeline or abandoned cart recovery.

Pro is sold as a lifetime license: the comparison article says GemCRM uses "a one-time lifetime fee covering unlimited contacts, campaigns, and integrations," with no annual renewal. The home page shows a 14-day money-back guarantee and an early bird offer of up to 77% off, limited to the first 500 users. The pages behind this entry do not show the Pro price itself.

Support

The site links to documentation, a roadmap, a changelog, a blog, a support desk, a contact page and a community. GemCRM shows a 4.9 star rating on WordPress.org.

Who it suits

GemCRM suits WordPress site owners who want email marketing tied to their store, courses or membership data without a per-subscriber bill, and who are happy to connect their own SMTP service. The free tier alone covers newsletters, A/B testing and forms for a list of any size; Pro makes sense once you need sequences, SMS, WhatsApp or cart recovery, and the lifetime license suits sites and agencies that plan to stay on WordPress for years. The caveats: it only runs inside WordPress, delivery and deliverability depend on the SMTP provider you choose, and it is a newer product, so the feature set is still growing.
