Top Producer
Tap a star to rate
Top Producer is a web-based CRM for real estate agents, teams and brokerages, and much of what it does is email and text follow-up: automated drip email campaigns, group emailing with open and click tracking, two-way texting, automated lead response, and branded MLS market reports sent to contacts on a schedule. The About page says Top Producer Systems "has been a leading provider of innovative real estate software tools since 1982" and that "Tens of thousands of agents currently use Top Producer solutions". The same page says Top Producer is owned by Top Producer Software Corp and Top Producer Software, Inc, "a part of the Constellation Real Estate Group", and the pricing page footer names Constellation1 Inc. and Emphasys Canada Holdings Inc.
It is built around a single idea from its mission statement: "real estate is still a relationship business". The email tools are there to keep an agent in front of leads, past clients and sphere contacts for years.
What a sender actually gets
Email. The pricing page's feature comparison lists group emailing, customizable email and text templates, customizable signatures, email open and click tracking, SMS and email lead response and nurture, and automated drip email campaigns. Two-way sync with the agent's own email is included, and the integrations page names Gmail, Microsoft Exchange, Outlook.com, Yahoo! Mail and AOL Mail. The CRM "compiles data from text, email, and contact records into a helpful timeline", so every message sits on the contact's record.
AI Author. The home page introduces AI Author as "Your helper for writing emails and text messages with less time and effort". An agent clicks a pre-loaded prompt such as "market update" or "write bio", or writes their own, and then edits the result by hand or with AI Author's help.
Dynamic workflows. The dynamic workflows page calls them "The clever real estate drip campaign". Its argument: "Traditional email workflow automation picks linear dates for activities, tasks and sends. In real estate, things are always changing! Dynamic workflows react to behavior to delay next steps or follow up on incomplete tasks." Campaigns can start "based on hundred of insights like contact type, last touch, email clicks, Property Insights or Social Insights." Ready-made templates include Prospecting (Buyer), Prospecting (Seller), Seller After Sale, Buyer After Sale and Asking For Referrals, and agents can adjust them or build their own.
Automated lead response. New leads can have Top Producer's Lead Response plan applied automatically, so prospects are "nurtured with carefully crafted messages sent at the right times."
Market reports and alerts. Top Producer sends branded market reports powered by MLS data, with "real-time alerts for new listings, price changes and sold properties." The feature list adds report engagement insights and "Just listed" and "just sold" alerts, plus matching postcards.
Texting. The feature list includes unlimited SMS messages and two-way text capabilities, and the FAQ says texts are saved under the contact details so an agent can see what was sent and received.
Follow-up and contacts. A personal Follow Up Coach suggests who to contact next. Social Insights adds public profile details, photos, interests, jobs and locations to contacts. MLS Property Insights labels properties a client is interested in and fills in listing data and status changes automatically.
Transactions. Transaction management gives reminders, templates and a stage timeline, and listing data can be pulled from the MLS with one click. Commission tracking is part of the plan.
Contacts, leads and integrations
The About page FAQ says an account can store "up to 50,000 contacts". The pricing page's comparison table lists "Unlimited contacts, leads & transactions" and "NEW! Engage an unlimited number of contacts", so the two pages give different answers.
On leads, the FAQ says Top Producer "can capture leads from over 100+ sources. If you receive an email for the lead, we can capture it." The integrations page says the CRM "integrates directly with 150+ online lead providers, at no added cost" and that "All Facebook leads can be imported via Zapier." MLS integration covers "320+ boards", and the About page says the data comes from "hundreds of MLSs across the US and Canada". Contact and calendar sync covers Google, Microsoft and Apple, and the home page mentions iCloud. The integrations page adds that "Additional support and available integrations are always set up free of charge."
Plans and pricing
The pricing page's plan cards list:
- Pro: $179 per user per month, with branded MLS market reports, automated SMS and email lead response, transaction management and MLS integration with 320+ boards.
- Pro + Leads ("Most Popular!"): from $479 a month, cost varying with lead volume, adding Social Connect leads from social media and automated multi-touch lead response.
- Pro + Farming: $599, cost varying with farm size, adding Smart Targeting, AI-powered predictive farming analytics and automated multi-channel marketing.
- Pro Teams 5: $399 for up to 5 users a month; Pro Teams 10: $699 for up to 10 users; Pro Teams 25: $1199 for up to 25 users. Team plans add team functionality and shared access to contacts.
A second, shorter price block lower on the same page shows different figures: $98 for the CRM with branded MLS reports, Smart Targeting by quote, and $299 for Pro Teams for up to 5 users. Add-ons are a Top Producer Website at $35 billed monthly and FiveStreet lead management for teams and brokers at $25. The About page FAQ says pricing depends on team size, products and payment cycle, with annual pricing and discounts for teams and brokers. Canadians request pricing separately.
Onboarding comes in two levels: Standard for the essentials, and Concierge, where Top Producer helps set up products and migrate "your most relevant content".
Support
Sales answers at (833) 387-1911 and learnmore@topproducer.com, support at support@topproducer.com, and there is a chat with support. The About page describes "friendly coaches and technical support staff" who provide one-on-one coaching and live assistance, and says switching CRMs is made easy.
Who it suits and who it does not
Top Producer suits a North American agent who wants drip email, market reports and texting tied to MLS data, with an AI helper for writing messages and workflows that adapt when a deal slips. Teams of up to 25 have published plan prices, and a buyer can see what each plan costs before any call.
It does not suit a business outside real estate or anyone wanting a general newsletter tool. Its MLS features cover the US and Canada only. Anyone building a very large database should note the 50,000 contact figure in the FAQ next to the unlimited claim on the pricing page.
