Weave is a patient communication platform for dental offices and other healthcare practices, from single locations to multi-location organizations, and email marketing is one of its products rather than the whole offer. The practice keeps its patient information in Weave, builds emails from templates, and sends newsletters, drip campaigns, promotions and announcements to groups of patients, from the same system it uses for phones, texting, appointment reminders, online reviews and payments. The footer names the company as Weave Communications, Inc., with an address in Lehi, Utah. The homepage calls it "All-in-one communication platform for small business", and the product copy speaks throughout to practices and their patients.

The Email Marketing tool

Weave's own summary of the tool, at the end of its guide for health professionals, reads: "Our Email Marketing tool provides healthcare practices with pre-written templates, an image library, CTA buttons, internal testing, and analytical capabilities". The same article explains what each part is for.

The templates come in two kinds. Pre-written templates, which the article says are crafted by professional email marketers, let a front desk put out a monthly newsletter without a writer. Practices that do have a writer can design and save their own newsletter templates and adjust them each month. The dental guide describes the platform as including "numerous email marketing templates" so that a practice can create professional-looking campaigns "without any graphic design or writing experience." The homepage promises branded emails without the need for design skills or complex software.

The image library supplies photographs that fit the templates, so staff do not have to search the internet for pictures or worry about distorted images. Call-to-action buttons drop into template emails and send patients to scheduling pages, payment sites and review sites, where they can book, settle a balance or leave an opinion. Internal testing sends a finished email to test addresses first, to check facts, image formatting and links before patients see it. The article stresses this for messages about changed opening hours or waiting room rules. Analytics collect open and click rates for every campaign.

On top of that sits an AI Email Assistant. The homepage says it uses AI "to quickly compose professional-quality emails", to generate more content ideas and to free up the team for other tasks.

Segmenting and automating

Because the patient records live in Weave, targeting follows from them. The dental guide says keeping patient information in the platform lets a practice "group patients into specific categories and easily send emails to the right group." Its example of automation is a drip campaign, "a set of automated emails", that welcomes new patients to the practice and invites them to schedule future appointments.

The homepage adds Bulk Texting and Emails for reaching all patients at once, and automated recall reminders for reactivating patients who have not been back. Appointment reminders and confirmations run on the texting side, and a patient can confirm by text with "any affirmative response (not just a "C")".

What practices send

Weave's two email articles describe the campaigns a practice typically runs with the tool. The dental guide suggests starting small with templates for appointment confirmations, welcome emails for new patients, discounts and coupons to bring past patients back, review requests after every appointment with a link to Google, Facebook or other platforms, and announcements of new services or products.

The health professionals article lists five popular types: monthly newsletters with office updates, educational tips and staff or patient spotlights; promotional emails, including contests; social media updates that point patients to the practice's pages and review sites; informative emails, such as the changes in hours many offices had to announce during the COVID-19 pandemic; and emails pointing to educational content such as blogs, ebooks, webinars and podcasts. It warns that putting the word "free" in subject lines can send emails to spam folders.

Testing and measuring

The dental guide recommends split testing: send one email to 50% of the patient base and another to the other 50%, then compare the analytics. It gives rules of thumb for the numbers the tool reports. An open rate below 12% is a sign to change strategy. An average bounce rate above 2% calls for collecting updated contact information. The unsubscribe rate after each email shows which messages went wrong. The guide also warns against clickbait subject lines and walls of text.

Weave's article cites a study that for every $1 spent on email campaigns, offices see $38 of new business, and a figure that 78% of professional email marketers saw engagement rise in 2019. Both are presented as outside statistics with footnote markers, not as Weave results.

The rest of the platform

Email sits in a product list that runs to Phones, Reminders, Billing and Payments, Digital Forms, Scheduling, Texting, Insurance Verification, Reviews, Team Chat, Analytics, a Mobile App, an AI Receptionist and Call Intelligence. The homepage describes Weave as "a single unified platform" with "no more switching between multiple apps", reachable from a web browser or a desktop app.

The AI side is broad. The homepage says Weave "leverages more than a decade of patient interactions to train large language models". The AI Receptionist answers calls and texts around the clock, books appointments, answers FAQs and writes call summaries. Call Intelligence analyzes recordings for sentiment and missed revenue. The Response Assistant replies to online reviews; the homepage cites that 97% of people reading reviews also read company responses. Voicemail transcription turns voicemails into text. Automated Missed-Call Texts reach patients who called and could not get through, and a separate TrueLark AI product handles leads and scheduling through text, chat and voice.

Reviews are a theme of their own: the dental guide notes that 9 out of 10 people check online reviews before choosing a business, and Weave collects and monitors reviews on Google and Facebook. Payments cover card terminals, manual card entry, card on file, Buy Now Pay Over Time and Text to Pay, with automated payment reminders and payment plans. The company footer also lists a CareCredit link, a partnerships page and a marketplace.

Plans and support

The homepage leads with "Get a demo" and "See pricing" buttons and a Plans section that invites practices to choose the plan right for their business; the homepage itself prints no prices. Support has its own phone line on the homepage, and the resources menu lists a resource center, customer stories, case studies, a podcast, ebooks, webinars, trade events and free continued education courses. A testimonial on the health professionals article praises the customer service and tech support.

Who it suits and who it does not

Weave suits a dental office or healthcare practice that wants patient email to live next to its phones, texting, reminders, reviews and payments, so that the same patient records drive a welcome drip, a monthly newsletter and an appointment text. Small front desk teams get templates, an image library and an AI assistant so that nobody has to be a marketer. Multi-location groups are named on the homepage as part of the audience.

It is not a general email platform for online stores, publishers or software teams, and the homepage steers buyers toward a demo and a plan for the whole practice platform rather than email on its own.
