What rapidmail is

rapidmail is newsletter software for creating and sending email campaigns online, run by Positive Group Deutschland GmbH. The English FAQ describes it as "a newsletter software that allows you to easily create and reliably send newsletters online", adding that no prior knowledge is needed, and calls it "a newsletter tool from Germany" for which data protection is a top priority. Besides newsletters it handles automated email sequences and transactional email over SMTP, and it connects to shop systems through plugins and an API.

The site says it is "Loved by over 250,000 companies" and reports 97% customer satisfaction across more than 3,000 reviews. It runs country sites in English, German, Austrian German and French, and the German site lists the audiences it writes for: online shops, companies, agencies, gyms, clubs and associations, freelancers and hotels. The company presents the product as email marketing for anyone, from someone sending a first newsletter to a marketing professional, and the FAQ says it aims to enable professional email marketing for businesses of all sizes and industries.

Creating and sending newsletters

Campaigns are built in a drag-and-drop editor that the FAQ says can be used without any marketing, design or IT expertise. A feature called 1-click design gives a quick start: on the Austrian and French sites you enter your website's URL and rapidmail automatically creates newsletter templates in your corporate design, which you can then adapt freely in the editor. There are also over 250 free newsletter templates, which the site describes as modern, good-looking on all devices and adaptable to your corporate design. Once a mailing is ready, the product menu promises flexible and reliable sending, and the German help center covers formatting, using the editor and scheduling a send.

Contacts, segments and sign-up forms

Recipient lists can be imported, which the site says is done intuitively and in compliance with legal requirements. Contacts can be segmented into subgroups and given tags so each group receives relevant content. To grow the list, rapidmail creates GDPR-compliant sign-up forms in your corporate design with one click, and you can embed them anywhere on your website, for example in the footer or as a pop-up. The German privacy page adds a newsletter checkbox and privacy notes that can be built into the sign-up form, and a user management function for setting access rights and sharing tasks within a team.

Automation and reporting

Email automation sends automated campaigns for various occasions, so contacts are reached at the right moment without the sender doing each mailing by hand. The home page illustrates this as a sequence of emails, and the French site describes it as email sequences sent automatically at the right point in a contact's journey.

After each send, rapidmail generates newsletter statistics automatically, covering key metrics such as open, click and unsubscribe rates, so you can see which content works and keep improving your mailings.

Transactional email and integrations

rapidmail also sends transactional email: the product menu offers to "Send reliable SMTP emails to your contacts", and the French FAQ describes transactional sending as available on request. That lets a shop or service send system mail through the same provider as its newsletters.

The integrations FAQ names newsletter plugins for CRM and e-commerce platforms, specifically Shopware 5 and 6 and WooCommerce, and says other systems can be connected through the rapidmail API. The German footer links to a dedicated Shopware 6 plugin page. For teams that want more, the menu points to Positive User, a separate product for what it calls advanced 360-degree personalized customer experiences.

Pricing and the free first send

The FAQ describes two ways to pay: "flexible monthly packages with different rates based on the number of recipients", and a pay-as-you-go plan where you only pay when you actually send. The French site puts the entry point at "à partir de 5 € par envoi" (from €5 per send) on its no-commitment pay-per-send option. The company promises fair prices without hidden costs.

You can test it for free. In the FAQ's words, "the first newsletter dispatch to up to 2,000 contacts is completely free of charge", so a new user can send a real campaign to a real list before paying anything.

Data protection and security

Data protection is the company's main theme, and the German page on GDPR-compliant email marketing sets out the details. All data is stored on servers in Germany, which the page says removes any risk of transfer to a third country or dependence on US companies. The data center is German, and its GDPR compliance is regularly checked and confirmed through ISO 27001 certification. Data transfers use 256-bit SSL encryption, encrypted backups are made daily and also kept on German servers, and rapidmail says it passes no data to third parties, including contact data, mailings and statistics. The English FAQ confirms that "All rapidmail servers are located in Germany", while the French FAQ states that the servers are in Europe.

The external data protection officer is Keyed GmbH, and rapidmail says working with Keyed keeps the tool legally sound when the law changes. Customers can sign a data processing agreement under the GDPR online in their account, and rapidmail supplies a free sample text for a privacy policy, reviewed by its Keyed adviser.

Several functions build compliance into the tool. Double opt-in is applied automatically for new subscribers, every newsletter carries an unsubscribe link whose wording you can change, and contacts can be deleted in a GDPR-compliant way to honor the right to be forgotten. The company also refuses mail to purchased addresses: its team activates new accounts only after checking the quality of the recipient list.

On delivery, the home page says rapidmail offers excellent delivery rates at the top end of the industry. The German help center has a deliverability section covering DKIM, SPF and DMARC, avoiding spam classification and improving delivery, and the footer links to a page on deliverability and whitelisting.

Support and learning

Every customer, whatever the package, gets free support by phone, email and ticket, according to the English FAQ. The Austrian site calls it support "Für alle Kunden, für immer!" (for all customers, forever), says the team speaks German and English, gives an average time of 60 minutes to solve a problem, and quotes 97% satisfaction across more than 3,000 reviews. The English FAQ says customers get an answer in 9 minutes on average. The French FAQ lists free support by email and by ticket from the customer account.

Self-service material is extensive on the German and Austrian sites: a blog, step-by-step newsletter guides, free e-books, checklists and text templates, live webinars on using rapidmail, video tutorials and a help center.

Who it suits

rapidmail suits small and mid-sized organizations in Germany and the rest of Europe that want a newsletter tool they can use without training, with strong data protection built in: shops on Shopware or WooCommerce, service businesses, clubs and associations, gyms, hotels, freelancers and agencies running campaigns for clients. Senders who mail only now and then can use the pay-as-you-go option instead of a monthly package, and the free first send to 2,000 contacts makes it easy to try.

Its focus is simplicity rather than depth, and the FAQ itself asks readers to consider whether they need complex automation before choosing a tool. Teams that want broader personalization are pointed to the separate Positive User product.
