NGO.TOOLS
Tap a star to rate
NGO.TOOLS is a German software suite for associations (Vereine), nonprofits, foundations and social businesses, and its newsletter module sends email newsletters, campaigns and drip sequences to supporters straight from the organization's own contact database. The footer says NGO.TOOLS is a brand of Help NGO gGmbH, recognized as a nonprofit by the Villingen-Schwenningen tax office. The site is in German and presents the product as a configurable "Werkzeugkasten" (toolbox): contacts, accounting, donations, membership, events, forms, a website builder, mailboxes and newsletters, with the menu speaking of 12 modules that can be used alone or plugged together.
The newsletter module
The newsletter page is headed "Kostenloses Newsletter-Tool für Vereine & Non-Profit-Organisationen" (free newsletter tool for associations and nonprofit organizations). It describes a tool for reaching members, supporters, donors, team members and volunteers without technical knowledge.
Editor and templates. Newsletters are built in a drag-and-drop editor. The page promises "Viele attraktive Templates" (many attractive templates) that can be used free of charge, and says elsewhere that the templates are "oft anderswo gegen Entgelt zu erwerben" (often sold for a fee elsewhere). A sender can use the templates or build its own layouts, and the FAQ confirms that colors, fonts and buttons can be added. The designs are responsive, so newsletters look right on mobile devices, and a preview shows the result before sending.
Blocks. A feature the page calls "Blöcken" (blocks) lets an organization define fixed units once, such as the legal imprint or social media links, and pull them into each new newsletter. Social media links are inserted automatically when they are stored in the organization's company details, and a footer with the association's legal details can be set up to appear at the end of every newsletter.
Duplicating. Newsletters can be duplicated as often as needed, for example to make an English-language version or a variant of a mailing.
Segments and dynamic queries. Newsletters go to segments the organization defines in advance, such as donors, volunteers, sponsors or newsletter subscribers, and several segments can be combined into groups so that one newsletter reaches several target segments. Beyond fixed segments, a dynamic query can pull an audience across segments by specific criteria. The page's example is a newsletter to every young person aged 14 to 20, drawn from volunteers, team members and newsletter prospects at once, created as a new target group for the campaign. A second example in the feature list uses all addresses aged 12 to 17.
Sending and list hygiene. Sending to all selected addresses is automatic. Duplicates and unsubscribes are detected automatically, and every newsletter carries an unsubscribe option and legal details without extra work. When someone unsubscribes, the tool deactivates that address in the database.
Automation and reporting
For sequences, NGO.TOOLS has a separate module, the "Email-Newsletter-Serientool (Drip-Campaign)." The homepage describes it as a way to plan complete email automations and campaigns, several emails sent one after another on a schedule, "perfekt für Onboarding, Spendenkampagnen und Reaktivierung" (perfect for onboarding, donation campaigns and reactivation). It uses the same drag-and-drop editor, templates and segmentation, runs "ohne Versandlimit" (without a sending limit), reports in real time and syncs with projects, donations and contacts in the CRM.
The homepage summary of the newsletter module adds smart automations, real-time reporting, segmentation, "hohe Zustellraten" (high delivery rates) in the company's words, and integration with the organization's website, where sign-ups and cancellations are recognized automatically.
Working from one contact database
The newsletter is part of the suite's central contact module, which the homepage describes as one place for all contacts, donor data, members and partners, with automatic duplicate checks and profiles it calls GDPR-compliant. It syncs with the CRM, newsletter, website, event and donation tools through interfaces and webhooks, and contacts can be segmented, filtered and tagged for targeted campaigns.
Other modules feed the same data. Membership management includes central profiles, groups and roles, online joining, a self-service portal, and communication by email and newsletter. A beta Structure module maps an organization's hierarchy as groups and subgroups and can write to group members by newsletter through dynamic segments. The donations module creates donation receipts and sends them automatically by email.
Two more modules sit next to the newsletter tool:
- Kontaktsegment-Kommunikation gives each segment its own email address, so a staff member can write to the whole segment from an ordinary mail program without going through a newsletter tool. Bounces are recorded.
- Veröffentlichungs-Manager (publication manager) collects content requests, runs them through approval workflows and distributes posts to the website, newsletter, social media and intranet.
External newsletter services
For organizations that want more than the built-in tool, the homepage says NGO.TOOLS can connect external newsletter services "wie Mailchimp, ActiveCampaign o.a." (such as Mailchimp, ActiveCampaign and others). Contacts are then synchronized, and the mail is sent through the external service.
Limits, price and trial
The newsletter FAQ answers both limit questions with yes: an organization can send as many newsletters as it likes, and to as many recipients as it likes, free of charge. The page sets that against a fair-use rule: "wir gehen von ca 10.000 monatlich versandten Newsletter-Mails aus, die kostenlos enthalten sind" (we assume about 10,000 newsletter emails sent per month, which are included free of charge). The homepage describes the module with "Versende ohne Limit" (send without limit) "zum günstigen Preis" (at a low price).
The site links to a pricing page, but the newsletter page and homepage give no plan prices. The trial is clear: 30 days with all features and no credit card, and the menu says an account can be live in 5 minutes. A demo version, a 45-minute live demo of all modules, webinars and workshops are also offered, and the company says it accompanies organizations personally when they switch from another system.
Data protection and hosting
The newsletter FAQ says the tool is GDPR (DSGVO) compliant because of its unsubscribe function and automatic address deactivation. Several module descriptions on the homepage are labeled DSGVO-konform. On hosting, the homepage says the collaboration module, built on Nextcloud with 1 TB of storage included, is hosted in Germany with regular backups, and the forms tool is described as hosted in Germany with a data processing agreement (AVV). The mailbox module lists spam and virus filters, TLS encryption and daily backups.
Who it suits
NGO.TOOLS suits a German association, foundation or small nonprofit that wants its member register, donation receipts, accounting and newsletters in one system, and that mails segments of its own members more than it runs marketing campaigns. The fair-use figure of about 10,000 newsletter emails a month, included free, is the number to plan a regular members newsletter against.
It fits less well for an organization outside Germany, since the site, the accounting (EÜR, SKR42, DATEV export) and the donation receipts are built around German rules, or for a sender who needs far more volume than the fair-use figure and wants a stand-alone email service.
