What SmartReach is
SmartReach.io is a sales engagement platform for cold email. Its help center describes it plainly: "SmartReach is a sales engagement platform built for cold email outreach. It helps businesses of all sizes automate personalized email campaigns, improve email deliverability, and book more meetings at scale." The stated audience is "an individual founder, an SDR team, an agency, or a recruiter."
The help center's summary of what the platform does is a useful map of the product. You can reach prospects "through multiple channels like email, LinkedIn, phone calls, and WhatsApp, all in one sequence or spaced out in a drip flow," send cold email "at scale using multiple inboxes and smart rotation," buy authenticated domains and email accounts, warm up inboxes and domains automatically, write AI-powered content, build multi-step sequences "with advanced scheduling and logic," track opens, clicks and replies in real time, find leads with the built-in LeadFinder, collaborate as a team, and integrate with CRMs, lead generation tools and automation platforms.
This is outbound prospecting email sent from your own mailboxes, not a newsletter tool for opted-in subscribers.
Building a campaign
A campaign starts with prospects. The help center covers adding them manually, from CSV, from third-party tools, with ProspectDaddy, or through email finders, with bulk actions, duplicate prospect detection, categories, tags, filters and a history timeline for each prospect. You can add a timezone column to a CSV so sending follows each prospect's local time. The built-in LeadFinder searches for leads with filters and uses credits, and a Gojiberry.ai integration is listed for building lead lists.
Emails are written in the campaign editor as a first email and follow-ups. You can create and share templates, insert HTML-based templates, add a signature, use merge tags (including conditional merge tags and handling for missing ones), write variations with spintax, and run A/B tests, with the option to pause an underperforming variant. Before starting, you can send a test email, use an editable preview, and choose a soft start for a new campaign. An existing campaign can be copied to reuse a sequence that works, and a troubleshooting section covers campaigns whose emails are not being sent and suspended campaigns.
Scheduling options include delivery windows, prospect-timezone sending, a sending holiday calendar and email throttling. Unsubscribe links or text and open and click tracking are set per campaign, and the help center notes a Google policy update on disabling open tracking.
Channels beyond email
The Multichannel Drip feature combines channels in one flow. The help center has setup guides for:
- LinkedIn, with LinkedIn actions and a semi-automation mode it calls Co-pilot.
- Calling, with calls made through SmartReach, call recording, a Call Disposition Agent, Voicedrop, and a page listing countries with no calling restrictions.
- WhatsApp, with account and content setup.
Manual steps become tasks, and a multichannel daily task view lets a rep work through the day's calls and LinkedIn touches.
Sending accounts and deliverability
SmartReach connects to Google Workspace (by OAuth or app-specific password), Microsoft 365, Exchange, generic SMTP-IMAP accounts (including bulk upload by CSV), SendGrid, Mailgun, Amazon SES, and providers such as NameCheap and rediff. The help center lists "Unlimited Email Accounts" among its email topics.
If you need new sending mailboxes, you can buy secondary domains and mailboxes through Maildoso, Zapmail or Microsoft Azure mailboxes from inside the product.
The deliverability tools are extensive:
- Warmup AI Agent, named WarmupHero.
- Email Validation Agent, with an option to force-send to addresses marked invalid.
- Inbox rotation and assigning multiple inboxes to a campaign.
- ESP Matching, block lists (per team and global) and a Global Blacklist Monitoring AI Agent.
- A custom tracking domain.
- Step-by-step SPF, DKIM and DMARC setup guides for Google Workspace, Microsoft 365, SMTP accounts and domains hosted on GoDaddy, Namecheap and Hostgator.
Cheat sheets on human-like sending, a "Bounce Shield," spam-trigger words, open, bounce and reply rates, and ideal sending times round out the guidance.
AI agents
SmartReach names a set of AI agents in its help center. For writing, there are an Email Sequence AI Agent, a Smart Email AI Agent, an AI Email Copywriting Agent and an AI Email Editing Agent, plus a guide to creating content via AI. For replies, there are an AI Sentiment Classifier Agent, out-of-office detection with automatic rescheduling, and an AI Response Agent, and the campaign inbox adds sentiment analysis and task creation from replies. Workflow automation lets you chain these actions.
Inbox, reports and teams
The Campaign Inbox collects replies across campaigns, with reply handling actions on each prospect. Reports cover campaign and account-based views, a progress bar, email reports with opens and clicks, and multichannel reports.
For teams, there are roles and permissions, prospect ownership changes and 2-factor authentication. Agencies get a separate agency setup: add clients, invite team members to manage a client's campaigns, switch between teams, and edit role permissions.
Integrations and API
Native integrations listed in the help center are HubSpot, Salesforce, Zoho CRM and Pipedrive for CRM, plus RB2B, Clay, Slack, Calendly and webhooks. Make.com and Zapier cover the rest; the Zapier page says you can "Connect SmartReach to 5,000+ apps using Zapier automation," with sample Zaps such as adding CRM leads to a campaign, creating a CRM lead when a prospect replies, or posting a Slack message on a reply. The Zapier API key is under Settings, Team settings, Integrations. SmartReach also publishes API documentation and a changelog alongside the help center.
Plans and trial
The help center has pages on free trial features, SmartReach credits, changing a subscription plan, billing FAQs and a referral program. The help center publishes no plan prices, so the trial is the practical way to judge fit.
Who it suits
SmartReach suits SDR teams and agencies that want email, LinkedIn, calls and WhatsApp in one sequence, with the sending infrastructure, warm-up, validation and rotation in the same product. The wide choice of sending connections, from Google and Microsoft to SendGrid, Mailgun and Amazon SES, suits teams that already run their own mail setup, and the in-app purchase of Maildoso, Zapmail or Azure mailboxes helps those that do not. Agencies benefit from the client and team structure, and recruiters and founders can run the same flows at a smaller scale.
Teams that live in a CRM get native HubSpot, Salesforce, Zoho and Pipedrive sync. It is not a newsletter tool for opt-in marketing lists.
