Mailmeteor

Mailmeteor is a mail merge and email outreach tool that sends personalized campaigns from your own mailbox instead of a separate sending server. You work from Gmail, Outlook, Google Sheets, Google Docs, Excel or the Mailmeteor Dashboard, and the homepage sums it up as "Mailmeteor helps you run email campaigns and manage every reply. Right from Gmail, Outlook and the tools you already use." Outreach features work with Gmail, Outlook and Zoho accounts; the AI email assistant is Gmail-only for now. The About page describes "an independent software company located in Paris, France," started in 2018 by two cofounders who first met at the STATION F startup campus. The site names sales teams, marketers, recruiters, founders, customer support teams and freelancers as its users, and the security page says its products are "Trusted by 6 million users worldwide."

What a sender actually gets

Mail merge from where your list lives. Campaigns start from a spreadsheet or the dashboard. The Sheets add-on mail merges directly from Google Sheets, "right where your contact list is," and there are versions for Google Docs, Excel, a Gmail extension, an Outlook add-in and a Chrome extension. You can personalize "every part of the email, from subject line to email body, as well as CC/BCC fields," plus personalized links, images and spintax text variations. Attachments can be personalized too, such as PDF, Word, Excel or image files, which the site suggests for invoices, payslips and invitations. You can also import your own HTML templates for newsletters.

Pacing and deliverability. Because Mailmeteor sends through your own account, it works within your provider's quotas. The FAQ gives Gmail's limits: Google Workspace accounts can send up to 2,000 emails a day and @gmail.com accounts up to 500. Autopilot lets you set how many emails go out per day and the delay between them, and the FAQ says Mailmeteor "adds a sending delay between each email sent" to keep mail out of spam. Paid plans add email verification, bounce and bot detection, email warm-up, a custom tracking domain, a Deliverability Hub and, on the top plan, inbox rotation. You can connect several inboxes or aliases to share the daily quota.

Tracking, sequences and follow-ups. Tracking shows opens and clicks in real time, plus bounces and replies in follow-up sequences. You can build sequences across several days for drip or onboarding campaigns, and send automatic follow-ups based on "replies, clicks, opens & more," even a few minutes after the recipient interacted. Google Sheets Automation triggers sends from a sheet, for example on a new form submission. Every campaign can include a one-click unsubscribe link.

Reply handling and AI. The newer half of the product is an inbox assistant for Gmail that sorts incoming mail, drafts replies "according to your tone and style," and rewrites, improves or shortens emails in one click. Reply detection, auto labels with AI and auto drafts in your voice sit in the paid plans, and the homepage lists "No training on your data" among its security points.

Teams and integrations. The Dashboard lets you invite users to a license, add or remove them, and see campaign stats at a glance; teammates can work on the same spreadsheet and share tracking reports. For CRMs, the FAQ says you can log emails in Salesforce or HubSpot by adding the CRM's unique BCC address to your sends, and the top plan adds a CRM integration. The Zapier integration connects Mailmeteor "to 5,000 apps." Free tools on the site include an email finder, email checker, spam checker and AI email writer.

Larger organizations can ask sales for custom pricing; teams of more than 50 users are told to get in touch, and the FAQ says the largest customer has 100,000 employees using Mailmeteor. Payment is by card through Stripe, PayPal in some countries, or wire or SEPA transfer for orders over $500, and the company accepts purchase orders for orders above $1000. Lifetime licenses stopped being sold in December 2024, though earlier buyers keep theirs. Canceling takes effect immediately, and you keep access until the end of the paid period.

Security, privacy and support

The security page is detailed. The FAQ says "By design, your data stays at all times on your Google Spreadsheet" and that Mailmeteor "only requests permissions to send emails and does not require access to your email data." It lists the only data it keeps: your email address, your name if you pay, campaign metadata and send metadata such as opens and clicks. Mailmeteor states it complies with French data protection law and the GDPR, and personal data processing is covered by a DPA. The homepage badges read "GDPR compliant," "CCPA compliant" and "SOC 2 (coming soon)." The security page adds that TAC Security audited the infrastructure and source code in December 2024 and November 2025 to confirm compliance with CASA Tier 3 requirements for Google API use, and that Google recommended the Sheets add-on in 2022 and 2023. It also offers a security whitepaper, a risk management policy, a vulnerability disclosure program and a HECVAT questionnaire for schools in its Education program.

Support answers in English, Spanish and French, and the pricing page says the team "answers under 24h." There is a help center with tutorials and a contact page. The pricing page shows a rating of "4.9/5 out of 11,741+ reviews."

Who it suits

Mailmeteor fits anyone who wants to send personalized bulk email from their own Gmail, Outlook or Zoho address without learning a separate platform: a recruiter reaching candidates, a founder writing to investors, a school office sending personalized notices, a small sales team running follow-up sequences. The free plan is enough to try real campaigns, and the per-user paid plans stay inexpensive at low volume. Privacy-conscious organizations will value the minimal-permission design and the published audits.

Volume is tied to your mailbox provider's daily quota, so it suits personal-scale outreach and small newsletters rather than list sends in the hundreds of thousands, and it does not send the transactional mail an application generates.
