Mail Merge for Gmail

Mail Merge for Gmail is a Google Workspace add-on that sends personalized mass email from your own Gmail account, using a spreadsheet as the recipient list. The homepage headline is "Send personalized mass emails directly from Gmail," and the add-on lets you "Save time sending mass personalized and tracked emails, directly from Google Sheets." Every campaign is tracked for opens, clicks and replies, follow-up steps can send themselves, and the status of each recipient is written back into the spreadsheet as it happens. The homepage shows "4.9 · 6,110 reviews · Trusted by 1M+ professionals," and the site is published in many languages, from French and German to Hindi, Arabic, Thai and Japanese. A company blog post describes the audience as email marketers, "Anyone looking for a simple, intuitive solution," and Gmail and Google Sheets power users, and the reviewers quoted on the homepage include a soccer club and a freight buyer as well as individual users. It is a sending tool for people who already live in Gmail. You install it from the Google Workspace Marketplace, and the same maker also publishes other Google Workspace tools such as TasksBoard and a mail tracker.

What a sender actually gets

Three steps from sheet to campaign. You add recipients to a Google Sheets spreadsheet, open Mail Merge to create a new email template or pick an existing one, then preview, test and send. "Each row is a recipient, each column a merge tag," as the homepage puts it. Mail Merge writes the campaign status back into the sheet per row (Sent, Opened, Clicked, Replied), so you always know who received, opened, clicked or replied without leaving the spreadsheet.

Personalization. You can personalize "every part of the email, from subject line to email body, as well as CC/BCC fields." Attachments, Cc and Bcc recipients and unsubscribes are managed from the spreadsheet, and the company blog adds personalized file attachments, "a unique file to each recipient," for invoices, certificates or personalized documents. Rich formatting, images and links are supported, and you can import your own HTML templates. One reviewer notes that "templates keep email formatting."

Tracking and reporting. Every campaign gets a real-time engagement funnel showing delivered, opened, clicked and replied, and you can share the dashboard with your team. The example on the homepage shows a product launch sent to 1,200 people with 762 opens, 318 clicks and 96 replies. Open and click tracking is included on the free plan, and team analytics sharing comes with the Professional plan.

Automated follow-ups. You can "Chain follow-up steps to any campaign. Each step waits a few days, then automatically skips everyone who already opened, clicked or replied." The homepage illustration shows a sequence of an initial email, a wait of 3 days, a first follow-up, a wait of 4 days and a second follow-up to the recipients who stayed quiet. Follow-up sequences, Autopilot and custom HTML templates belong to the Professional plan.

Scheduling and deliverability. Scheduling starts on the Personal plan, and the blog mentions throttled sending "to avoid spam filters and improve deliverability." The FAQ says Mail Merge "sends emails directly from your Gmail account and adds a sending delay between each email sent." The features list describes a deliverability audit before every send, bounce detection, and a memory of past unsubscribes that are skipped on every new campaign to protect sender reputation.

Why send from Gmail. The FAQ makes the case directly: campaigns go out from your Gmail inbox, so "When your recipients receive an email sent using Mail Merge, it will feel personal, unique, and highly-relevant," which the company links to better deliverability and higher open rates. The company's own verdict in its comparison post is modest: "It’s a tool fully dedicated to mail merge, it does nothing else, and it does it well!"

Privacy. The FAQ says the add-on "has no access to your Gmail inbox, contrary to other add-ons that ask for read access to your Gmail inbox and Google Drive files," and that "By design, your data stays at all times on your Google Spreadsheet." The legal footer links a GDPR policy, and the Company menu links an ISO 27001 page; the company's comparison post lists "ISO 27001 certified" among its pros.

Plans and pricing

The pricing section offers yearly billing ("50% off"), monthly billing and a lifetime option:

  • Free, $0.00: up to 50 emails a day, unlimited campaigns, open and click tracking, unsubscribe management and all core merge tag features. The FAQ says "Our free plan has no restrictions on features, no trial period." The company blog lists the exceptions: deliverability optimization, removal of branding and multi-user team access are not part of the free plan.
  • Personal, $2.99 a month: up to 250 emails a day, everything in Free, email scheduling and priority support.
  • Professional, $3.99 a month, marked most popular: up to 1500 emails a day ("free Gmail capped at 500"), Autopilot, automated follow-up sequences, custom HTML templates, team analytics sharing and premium support.
  • Lifetime, $149 one-time: up to 1500 emails a day, pay once, no watermark and priority access to new features.

The company blog, which calls the two paid tiers Standard and Premium, says those monthly figures are the annual-plan rates, "$2.99/month ($35.88/year)" and "$3.99/month ($47.88/year)." Volume is bounded by Google as well as by the plan: the blog lists "Gmail quota applies" among the cons, and the Professional tier notes that a free Gmail account is capped at 500 a day.

You can cancel any time from the add-on's settings, and access continues to the end of the paid period. The refund policy reads: "If you cancel your Premium subscription within 30 days of the purchase, you are eligible for a full refund." Support is reached through the help center and a support email address, with priority or premium support on the paid tiers.

Reviews

The homepage quotes Google Workspace Marketplace reviews. Users describe it as "Easy to use, templates keep email formatting. Works excellent with Google Sheets," as "Such a helpful tool for Mail merge without outlook!," and one buyer uses it to send "freight quote requests to several freight brokers and freight companies." Another writes that "privacy is really important to me, so this fits the bill very well!" The company blog cites 4.8 on Capterra alongside the Marketplace rating.

Who it suits

Mail Merge for Gmail suits anyone with a Google account and a list in a spreadsheet: a freelancer following up with prospects, a school or club emailing families, a recruiter contacting candidates, a small business sending quote requests or announcements. The free plan covers light use indefinitely, and the paid tiers cost a few dollars a month, with a lifetime option for people who would rather pay once. The Professional plan's automated follow-ups make it workable for simple cold outreach sequences. Because it sends through Gmail, daily volume stays within Google's limits, so it is a tool for personal-scale sending rather than large newsletter lists.
